THE GYM DAY

Six moments where reliability matters.

A gym runs on routines. ImpulsCheck sets them up as checklists that fall due at the right time – and documents what actually happened.

  1. 07:00

    Opening

Start reception and check-in, lights and ventilation on, emergency exits clear, sanitiser dispensers filled. The opening check takes five minutes and tells you on your phone: gym ready.

  2. 07:15

    Equipment & safety

Visual inspection on the gym floor: cables, loose parts, emergency stops on the treadmills. Faulty machines are taken out of service and reach you as an issue – with photo, time and name.

  3. 10:00

    Hygiene

Showers, sauna, equipment pads, class mats: the hygiene checklist records what was cleaned and disinfected, and who signed it off. Critical items require a photo.

  4. 14:00

    Daily check

Dumbbells back, pads wiped, bins emptied, callbacks done. A short midday walk-through keeps the floor in shape before the evening rush.

  5. 23:00

    Closing

Sauna off, cash locked away, alarm armed, all doors locked – with required photos of sauna and doors. The last shift is traceable, not just claimed.

  6. Next day

    Handover

The late shift leaves; the early shift sees the next morning what is still open: every issue with photo, time and owner. Nothing gets lost in a group chat.

TEN TEMPLATES THAT RUN RIGHT AWAY

GUIDES FOR GYM OPERATORS

What to check – and how to prove it every day.

Practical guides with printable checklists and sources, as of 30 September 2026. More guides are available in German.

ONE PRICE PER GYM

No licence per trainer.

Three trainers or thirty, part-time or full-time: you pay for the location, not per head. One subscription priced per location, all staff included. Try 14 days for free, then subscribe via your Apple ID and cancel any time. Several gyms? Tiers by number of locations.

  • Trainers join by QR code – no email invitation, no licence management.
  • Staff can be limited to their own gym; admins see all locations and the reports.
  • No signal in the basement? Checks are stored locally and synced later.

WHY NOT PAPER OR WHATSAPP?

Because a tick without time, name and photo proves nothing.

The sheet at reception

Gets filled in – or not. Nobody notices until a member complains or the insurer asks.

The WhatsApp group

“Treadmill 3 broken” sits between shift swaps and birthday wishes. Two days later nobody knows whether it was fixed.

ImpulsCheck

Every item has a result, a timestamp and a name. A “not OK” automatically becomes an issue that stays open until you close it.

COMMON QUESTIONS

Questions from everyday gym life.

Does the app work in the basement without signal?

Yes. Checks are stored on the device and synced as soon as there is a connection again. Photos are downsized before upload, so a mobile connection is enough.

How do my trainers get into the app?

You set up your gym and share a QR or invitation code. Trainers download ImpulsCheck, scan the code and are in – no separate licence, no email invitation. You can also create staff accounts yourself.

What happens when a machine is faulty?

The trainer marks the item as “not OK”, optionally with a photo and note. ImpulsCheck automatically creates an issue that you see under “Issues” and mark as resolved once the repair is done.

Can I adapt the templates?

Yes. The ten gym templates are a starting point: items can be edited, added or removed; rhythm, timing, photo requirements and responsible people are set per checklist. Add your own checklists at any time.

Can I schedule monthly and yearly checks?

Yes. A checklist can run daily, on specific weekdays, every 2 weeks, monthly, quarterly, half-yearly, yearly or on a custom rhythm. Monthly and yearly checks appear in “Today” with an adjustable lead time and stay visible as overdue if they are not done. Ready-made templates cover AED & first aid, emergency lighting, deep cleaning, safety briefing and equipment safety inspection.

Can I assign checklists to specific staff?

Yes. Under “Responsible” you pick one or more people. Of your staff, only they see the checklist in “Today”. If the list has a due time or is a catch-up list such as a monthly or yearly check, they get the reminder and a notification when it is overdue. Admins see all lists and can always stand in.

How often should gym equipment be inspected?

At intervals set by your risk assessment, taking account of the manufacturer's recommendations – plus quick checks before use by your team. Details and sources in our gym equipment inspection guide.

How often should a gym be cleaned?

It depends on how busy each area is: contact points daily and between users, locker rooms and toilets daily, studio mats after every class. See the gym cleaning schedule.

Know tomorrow morning that everything is ready.

Create your gym, pick “Gym”, invite your team by QR code – the first opening check runs within minutes.
